At this point, you’ve added all your fields to the secondary table. But sometimes you want a field to pre-populated with a value in each record, as soon as the record is created. This can save time for your users, help them understand the purpose of the field, or give you a way to  connect tables together. Fields populated in this way are called auto-enter fields.

 

In the case of the example file, several auto-enter fields have been set up in the Activities table:

Status
Data: To Do
Activity Type
Data: Call
Activity Date
Creation Date
Activity Time
Creation Time


 

Do you have any fields that would benefit from pre-populating a text value, a creation date, or a creation time?

 


Goal:

Set up three different auto-enter options on appropriate secondary table fields.

 

 

Steps:


Auto-enter a text value

 

Here’s how to set up text field to pre-populate with a value such as “To Do”.

  1. Make sure you are viewing the Fields tab of the Database Manager, and have selected the appropriate table.

  2. Select the field that you want to change.

  3. Make sure that the Type option is set to “Text”.

  4. Click the Options button in the lower right of the Manage Database dialog box.

    An Options for Field… dialog will appear.

  5. Select the Auto-Enter tab.

  6. Select the Data checkbox, and in the field to the right, enter a text value without quotes (the example solution has the value “To Do”).

  7. Click the OK button to dismiss the dialog.

 

Auto-enter a creation date


Here’s how to set up a date field to pre-populate with the current date at the time the record was created:

 

  1. Select the field that you want to change.

  2. Make sure that the Type option is set to “Date”.

  3. Click the Options button.

    An
    Options for Field… dialog will appear.

  4. Select the Auto-Enter tab.

  5. Select the Creation checkbox.

  6. Change the option next to it from “Timestamp (Date and Time)” to “Date”.

  7. Click the OK button to save your changes.


Auto-enter a creation time

Here’s how to set up a time field to pre-populate with the current time at the moment the record was created. This is very similar to the Creation Date above.

  1. Select the field that you want to change.

  2. Make sure that the Type option is set to “Time”.

  3. Click the Options button.

    An Options for Field… dialog will appear.


  1. Select the Auto-Enter tab.

  2. Select the Creation checkbox.

  3. Change the option next to it from “Timestamp (Date and Time)” to “Time”.

  4. Click the OK button to save your changes.
