If your notes table already has a callID foreign key then all you have to do is create another relationship from Call to Notes keyed on callID. You can then put this portal on the call layout if you wish.
There is one table: Calls
Within Calls there is a field called Notes that I want to put below the other Call fields in a separate portal.
I have done that.
I don't want to have to scroll in Notes. I want one Note to appear connected to the Call I am entering.
If I have 15 phone calls I need to scroll down the Notes portal to find the one I need.
While in the Calls portal I want to click on a field and have only the Notes field appear that has the same Call ID as the one I am working on.
well in that case create a self join relationship keyed on CallID and use that for your notes portal.
Would you explain how to create a self join relationship keyed on CallID.
In the Relationships Graph, Duplicate the table that contains the field CallID, and then drag that field from one instance of the table to the other.
That didn't work. Maybe I am unclear.
One Table: Calls
Contains Fields: Call Date; Call Time; Subject; Notes; RS_File_No; CallID
I created a Portal that contains all the fields Except one: Notes
I created a 2nd Portal that containes 2 fields from the Calls Table: Notes and CallID
I am able to type a new record in the Calls Table Portal.
I am also able to type a in the Notes portal that came from the Calls table and has the same CallID.
If the Call ID in Calls Portal is 3322 then
The Call ID in the Subject field is also 3322.
The problem is when I need to lookup a previous call I need to scroll down the Call Portal to find it. That is ok.
But I also need to scroll down the Notes Portal to find the Notes that go with the Call.
I want each Call to stay with the Notes record. I don't want to have to see all the Notes. Hard to explain.
Maybe I need a Notes Table.
What do you think?
Having a notes table would be the preferred method.
I rather not create a Notes table. Since this worked in windows, isn't there a script in mac that would allow me to click on a field [subject] and the field [Notes] regarding that particular record via CaseID field.
The Calls table is setup so the Notes has the correct relationship re the RS_File_No and the CaseID.
Thank you for your post.
If this worked in Windows but not in Mac OS X, that concerns me. FileMaker Pro should work identically on both platforms (other than some specialized functions).
If you are in the current record, you may want to keep the Notes outside of the portal. You could then set up a portal into the same table where the ID does NOT equal the ID field. This will allow you to see all other records than the current one. This would allow you to scroll through all previous calls, but still keep the Notes field active for the current record.
Looks like the reason it worked in windows, was because the OP was using Access. I recognize the commands used in the first post. As far as I can tell, there's no way for 2 portals to communicate with each other. They are independent, even if they are based on the same table as the layout and each other. But I'm willing to be corrected if I'm wrong!
Yes, the Calls program was a windows download in Access.
However,I hate to admit defeat.
Initially, I had the same problem in windows as I am encountering now.
A friend created a text box that tricked the CallsSub form to open only the CallNotesSug form when the Subject field was clicked. Please Note: The portals display related records from 1. Call Table 2.portal; Displays data from Call Table since I took the Notes field from the Calls table and made a portal for it.
The link for the CallsSubForm was: Link Child Fields: RS_File_No Link Master Fields: RS_File_No
The link for the NotesSubForm was: Link Child Fields: CallID Link Master Fields: Text5461
The Text5461 in Access: =CallListSub.Form!CallID
Since I am unfortunate in that I almost get it, but not enough to solve the problem.
When I am typing in the Calls Subject the Notes are not open.
If I need to write detailed notes then I click on Notes and it opens attached to the CallsSubForm entry.
Is there a script that could be created that would do what the Text5461 did?
In Notes could it "open on click" ?
Appreciate any input. Joan
I noticed a few errors: the most important is
the field I clicked to open the Notes was
the Notes form not the Subject.
I need to enter & type at least one character in the subject field
before a click on the note form w/open it.
In Calls the Event is On Current
and Event After Insert
I don't think I am explaining my problem correctly. Shall try again.
I want to setup the 2 portals:#1: CallListSub and #2: Notes so only the Current Record in Notes is connected to /filtered.
The portals are based on 1 table named Calls.
Connected via data soource: CallID field.
Relationship is setup using the CallID: auto number field for each new record.
Right now when I am in the CallListSub portal ALL the records in the Notes portal appear.
I want Only want the current record in Notes to be connected to the current record in CallListSub.
Please help. Joan
