How to shutdown FileMaker Pro for backup

We have the standard, non server version and sometimes users forget to shutdown FMPro.  Problem is the backups are no good when we try to recover because FMPro, even though it was backed with Windows Shadow Copy feature still complains that it was not shut down properly and has to reindex rebuild regurgitate, whatever it does that takes it FOUR AND A HALF hours to fix, before the database ever comes back up.   Is there any kind of a script or command I can send to CLOSE all filemaker pro gracefully?  Thanks so much for your help!
