Title

Limiting records in a portal

Post

I am trying to set up a portal to display summary information for a budget.  Here is the situation.  Every employee has a position number and every position number has a budget.  Sometimes employees go on leave and money is moved out of the position.  I need a summary portal to track the balances.  I have a portal set up but it shows every record for each position number.  In each record there is a field that shows the remaining balance so it doesn't matter which record is displayed but I only want one record per position number to show.

Here is what it looks like now:

Pos. # - Name - Balance

54000 - J.Doe - $50,000

54000 - J.Doe - $50,000

54000 - J.Doe - $50,000

54110 - R.Key - $48,000

54110 - R.Key - $48,000

I would like for it to show just two records like this:

Pos. # - Name - Balance

54000 - J.Doe - $50,000

54110 - R.Key - $48,000

What can I do?

The screenshot below shows what I have so far.  The portal on the left is where the data is entered.  The portal on the right is where I want the summary to appear.
