           I have 330 rooms, each have a number and status (ie reserved, vacant,occupied, etc).  I want to create a layout showing all these rooms (each as a square) and each room will have a different colour based on its status.  I can change the status using conditional formatting but my problem is to update each individual square based on room number.  All my rooms (square) show the status of the current record only, how can I walk all records and update each and every square?

               I'd use a portal, likely a filtered portal, to produce the "square" for each room. Conditional formatting can then control the color of a field in that portal. Since your portal can be to data on your room occupancy, your conditional formatting on that field can use that data to control the field's fill color.
