Relationships, Join Tables, Portals and headaches!

      Post

I am trying to create a layout that will have two portals. One portal will reference the contents/parts of the Product. The other portal will show the usage of the Product.

In order to have the contents show on the layout I have created the following tables:

      Set Listings

      Set Assembly (join table)

      Set Parts

                               Serial ID (auto serial number)------------

                               Set ID (number field)

                               Set Name

                               Item Number----------------------------------<

                               Item Number

                               Description

                               Quantity (number field)

           My relationships look like this:

Question 1:  How do I fill in the join table to have each serial id (representing an individual set) match to multiple items from the set parts table to show the item number and description? I know I need to add the quantity in myself for each Set but do I have to type in the join table the Set Id, item number, description, and quantity? (it seems like I am making this more difficult than it needs to be).

Question 2: On the layout I have created a tab object that will have the front tab showing the contents of the Set and the second tab will show the usage of the set. I placed a portal on the tab but when I go to enter data from the Set layout I can’t enter data. Does it have to be entered directly into the Join table to show in the portal?

I have viewed many tutorials, read through several forum posts, and read the File Maker Pro manual and all I’ve gained is a headache!

               Please help! J

Your usage looks like data that should be recorded in a 4th table linked to Sets by Set ID.

                 Question 1:

If you enable "allow creation of records via this relationship" for Set Assembly in the Set Listing to Set Assembly relationship, you can use a portal to Set Assembly to add records to the join table that automatically link the current Set Assembly record to selected Set Parts records. You can format the Set Assembly::Item Number field with a drop down list or pop up menu format for selecting parts from the set parts table. You should not enter a description when you do so. Instead, include the description field for Set Parts in this portal row and it will display the description automatically when you select a set part from the value list. Your data entry is limited to selecting a Set Parts record from the value list and entering a quantity.

                 Question 2:

Whether or not you place a portal inside a tab control should not affect whether or not you can enter data into that portal. If you can't enter data in that portal, some other aspect of your design (Such as "allow creation...") is not set up to permit the data entry.
