    sub-summary or not??????

      Title

      sub-summary or not??????

      Post

I have a letter that I need to send to a specific set of schools with a certain text on top, a list of students from this school and text under it.  The text of the letter is more than one page alone and the list of students sorted by school needs to go in the middle.  I have tried to set up a sub-summary to produce the letter, but the layout of the letter never comes out right b/c I have the top text in the header and the bottom text in the footer so that I can use the body for the sub-summary.  I am looking for a way to get this produced  so that I can send it as an attachment to an email.  Any ideas?????

The text of the letter should be in a sub-summary by school part. The students go into the body part.

(Hopefully, it's obvious from this that the layout needs to based on the Students table.)

Is the problem that your "list in the middle" is more than one page long? In that case your header and footer parts repeat on every page right?

Make your header a "Title Header" and make your Footer a "Trailing Grand Summary". Simply double-click the part tags to bring up each part definition dialog and select the appropriate part type.

              Phil and........

I got the top text to work in the sub summary, thank you, but the trailing grand summary does not work.  The list of students is only 1-5 or 6 long, but it pushes that pages to more than one in some instances.  I can get the bottom text into a footer on a legal page, but it will not slide print up since it is in the footer..... Do you know of any thing that is like a GetSummary for text??????

If you change your footer to Trailing Grand Summary, it should slide up to the last item in your body and only print on the last page. I am assuming that your list of students is in the body or in a sub-summary part correct?

I'd advise not to mix the two suggestions. I would put the text that goes before the list of students in a leading sub-summary by school part, and if there any closing text, it should go into a trailing sub-summary by school part.

If you indicate a page break before each occurrence of the leading sub-summary, you can print all your letters in one pass.

                    To comment,

You and I are interpreting the problem differently based on what appears to me a fairly vague discription. I can't honestly tell if our advice is incompatible or not based on the posts given.

If the requested report should look like this:

                    "Header" text

Sub summary about 1st group of students

                      student detail1

                      student detail2

Sub summary info about 2nd group of students

                       student detail3

                       student detail4

                    "Footer" text

Then we need a sub summary part and correct sorting to make the subsummary part visible. My advice has strictly been focused on getting the "header" and "footer" text to appear only at the beginning and end of the report.

Hopefully, that gets everyone on the same page.

This is the way I understood the request:

                      Letter #1

                      To: School A

                      Dear <School Principal's Name>,

I am writing to you about these students:

                      • Adam

                      • Betty

                      • Cecil

                      They have behaved very badly.

                      Sincerely,

                      L.S.

                      Letter #2
