"when I click the export command..."
Are you clicking a button or choosing export records from the File menu?
If you manually export the records by using the Export Records option, the export should export all the records in your current found set in the order in which they are currently sorted, so I'm searching for a reason why this didn't happen for you.
If this is a button you are clicking, it's possible that the button's script is not set up to correctly export the records for you.
I'm choosing export records from the File menu.
Thanks for helping me with this!
Can you confirm that you can see all the records you want to import just before you select this from the File menu? (want to rule out any triggered scripts or such that might alter your found set before you can export them.)
If you can see the records you want to export and sorted in the correct order, but are only getting one record exported, we'll need to carefully put your whole process under a magnifying glass to see where this is going wrong for you. Try spelling out step by step how you are exporting your records.
Yes, I do see all of the records that I want to export.
Here is what I'm doing step-by-step:
Find > Enter the information in the field that I want to find all contacts for > Perform Find
Then I see that there are 78 contacts found (unsorted)
Sort> by company name
File > Export Records > type: Comma-Separated Text
Seperate Field Order for Export > Group by Type (selected the ones I want) > Field export order (fields chosen and in the window)> Output file character set: Macintosh
FYI this time I was able to get 20 out of the 78 contacts that I want. I just noticed something...The current record that is showing on the screen is #29 of 78. Wil it make a difference if I go to the first or last record of this group?
I just discovered that it seems to export fine if I don't sort the found group.
The group by option is merging your multiple records down into a smaller set of rows of exported data (1 apparently). If you want all the records exported exactly as you have them, don't specify the "group by" option.
