Whats the best way to duplicate the contact management file on filemaker server to create a different layout for another user?
When you want to give a user a different UI, you don't duplicate the file. Duplicating a file creates an entirely separate database, separating the data.
Can you explain a bit more what you are trying to achieve?
The contact management file will have a different look and will link to some of the same tables of information and the arn't shared. This is actually related to a different discussion I created daabase links
In order to copy a file (duplicate it): run a backup on FMS, copy the backup file and give it a different name, put the new file in the FMS databases folder and open it through the admin console.
Never ever touch a live hosted file (to duplicate it or otherwise).
Once this has been done whats the best way to duplicate the file. If the file is copied and pasted it doesn't show in open remote.
Secondly I get a message customers.fmtp is currently in use and could not be opened. If the file is shared, you can use the Open Remote command to open the file on the network. (If you’ve opened the file before, check the Open Recent menu.)

That sounds like you're messing with the live hosted files, so potentially you are doing dangerous things. For now and until you have the routine down: close all the files in the admin console before doing anything with them.
When you add a new file to the FMS database folder, it will show up in the files section of that admin console and you'll need to open it there so that it becomes available in the user's "open remote"
Whats the basic steps I would take to duplicate the layout?
The way you switch between questions about files and layouts is confusing, and makes me wonder if we are really talking about the same things...
To duplicate a layout (this is only one of the ways it can be done)
- go to the layout you want to duplicate
- go to layout mode
- from the menu choose Layouts > Duplicate Layout
