    Exporting Records to Excel

      I am able to perform a find and export the record to excel. How do I perform multiple finds and export all of those records to the same Excel File.

          You can (either via script, as shown here, or manually)

           

          Enter Find Mode [ no pause ]

          Set Field [ Table:.state ; "California" ]

          # [ OR search ]

          New Record/Request

          Set Field [ Table::state ; "South Carolina" ]

          # [ repeat ]

          Perform Find

          Export Records

           

          or

           

          Enter Find Mode [ no pause ]

          Set Field [ Table:.state ; "California" ]

          Perform Find

          # [ do stuff ]

          Enter Find Mode [ no pause ]

          Set Field [ Table::state ; "South Carolina" ]

          Extend Found Set

          # [ repeat ]

          Export Records

              No, not really.

               

              1. You're not setting these fields to anything.

              2. All these Set Field[]s are in the same request, so this would result in an AND search.

              3. There is no Perform Find[]

               

              Or do you want to perform an AND search?


              Maybe explain what exactly you mean by “multiple Finds”, and what records you want to find.

                I have a set of 1,000 records. I want to export an report of a subset of records. How can I get 40 of those records to export to excel. Keeping in mind when I search for these records It will be by a specific field.

                  By finding them …? OK, seriously, you haven't answered my question.


                  Not how many, but what records do you want to find? e.g. “All Clients that are in South Carolina OR in California”?

                    This is very simple.

                     

                    If I want to FIND a subset of RECORDS of the 1,000 TOTAL and export them to excel. Do you know of a way to do this?

                      Chris, Erolst already told you how to do a find for a subset of records and export them:

                      Enter Find Mode [ no pause ]

                      Set Field [ Table:.state ; "California" ]

                      # [ OR search ]

                      New Record/Request

                      Set Field [ Table::state ; "South Carolina" ]

                      # [ repeat ]

                      Perform Find

                      Export Records

                       

                      The "perform find" script step is what executes the find, followed by the export records script step which you can configure to export an excel file.

                       

                      In filemaker, the term for a "subset" is a "found set", meaning the set of records you just performed a find action for.

                        If I hit perform find and find a found set of 12 records and I want to perform another find and find another found set of 14 records. How can I have all 26 records exported to the same excel file?

                          You can do that many ways.

                           

                           

                            1.  1) You can specify multiple find “requests” in your code by using the new record/request script step, ( also shown in erolst’s example).

                            2.

                           

                          2) You can use the “constrain found set” script step to further constrain a set, or use the “extend found set” step to add records.

                           

                          3) Instead of using “enter find mode” and “set field” and “new request”, you can put all of your find parameters into the dialog for the “perform find” script step.

                           

                           

                          erolst’s questions were trying to figure out if you were trying to do an AND search (multiple fields) or an OR search (multiple requests).

                           

                          Here’s an example of an AND search:

                          Enter Find Mode

                          Set Field

                          Set Field

                          Perform Find

                           

                          This finds for first name contains “Mike”, AND last name contains “Beargie”.

                           

                          Here’s an example of an OR search:

                          Enter Find Mode

                          Set Field

                          New Record/Request

                          Set Field

                          Perform Find

                           

                          This finds for first name containing “Mike” OR containing “Chris”

                            Yes, but I am going to be searching by the same field which is the file number.

                              You need to search for where file number is ___ OR ____

                               

                              Enter find mode

                              set field

                              new request

                              set field

                              perform find

                                I don't think that is going to work. If the client needs to search 50 times, that script will allow it and export all the data from each 50 search?

                                  Ok, you’ve lost me. why are you trying to script a find? Rather than training your users to perform the finds themselves, then export the records they’ve found?
