Key question: If the person moves to a different cubicle, do the inventoried items move with them or stay put? (Do you link the inventoried items to the cubicle or the person?)
Assuming you link them to the person, you'd need two tables, Personnel and Inventory. Define a serial number field in Personnel and link it to a number field in inventory. Enable "Allow creation of records via this relationship and you'll be able to place a portal to Inventory on your Personnel layout and can log items to that person by entering the data you need directly into the portal rows.
the answer to the questions is... yes. so the items are linked to the person.
i guess your sugesstion is what im looking for, but if you can give me some more detailed guidance on what to do i would appreciate it. the related field is the person isnt it? i cant seem to get the design of the layout right. what fields do i put on the layout and how do i layout the portal?
It all starts with the right relationships.
Persons::PersonID = Items::PersonID //allow creation of records via this relationship for Items records
Put a portal to Items on the Persons layout. Persons::PersonID should be an auto-entered serial number. Simply by entering data in this portal, you log inventory items as being assigned to that person.
so this is what i have so far. it doesnt work. any hints? (cant figure out how to add the image to this post)
"Doesn't work" doesn't give me much to go on. How doesn't it work?
The screen shots look basically correct, but there are details not showing that may be a factor. Did you double click the relationship line and enable "Allow creation of records via this relationship" for the portal records?
While this isn't a factor in why it's not working for you, I wouldn't link records by name in this fashion. Use a serial number field instead. People do change their names from time to time and you don't want such a name change to mess up your database.
i would be happy to share the file if you would like to see it? i know its a lot of effort, and i really appreciate what you have done so far. if you dont want to invest the time further, i totally understand.
Option 1: describe how it fails as I previously requested. Can't add new items? or some other problem? Your description of exactly how it doesn't work for you will likely reveal to me why it doesn't work.
Option 2: Upload the file to a file sharing site and post the link here so that I or any other interested forum member can download it and take a look.
thats got it! thanks for all the help!!!
