This method is usually called a "conditional value list". Up for a bit of reading? I have a number of links to support that concept...
There's a lot of overlap between the first two links so you can read one and skim the other. The demo file gives you several examples of different conditional value lists so you can examine them to see how they are set up. If you are using FileMaker 12, you can open this demo file from your File menu to get a converted copy of the demo file that you can examine in FileMaker 12.
The last link discusses how to set up a chain of conditional value lists where the value selected in each conditional value list controls the values listed in the next value list.

Hierarchical Conditional Value lists: Conditional Value List Question
Feel free to post follow up questions here if those links aren't enough to get your value lists working correctly.
Thank you! I successfully used hierarchical conditional values lists so now drop-downs filter by category-->item type--> manufacturer which makes my product list a lot more manageable.
hello , ive been trying to do just this today ALL DAY . Im getting lost and just keep going round in circles. you couldn't put up what you did so i can copy.
it would be much appreciated .
Here's a screenshot to help.
Brilliant thanks ive copied that i think , its just the value lists now thats what was driving me crazy before could you help please
no matter what value list selection i make i can't get the2nd drop down to work . the first category drop down works a treat. i then wanted the item to drop down which gives the part number of the product . when you select this it would auto the description and the price etc.
What would be more useful would be to upload a screen shot of Manage | Value LIsts where you have set up the fields used for your value list.
Here's the screenshot of the value lists.
This is the way mine works...Choose "category" from drop down---> "Types" only of selected category populates
Choose "type" from drop down----> "manufacturers" only of selected category-type populates
Choose "manufacturer" from drop down ---->"items" (part numbers) only of selected category-type-manufacturer populates
Choose "item" ---> price, description, etc, auto populate for that item.
It took me a several tries to figure it out, I was also having trouble with the portal. I think I had to re-do the portal because it wasn't cooperating with trying to add fields within the existing portal. It was awhile ago and I don't use or develop Filemaker on a daily basis so there's always a little learning curve each time I dedicate some time to this project.
Please post the screen shot of the dialog that opens if you click Edit in the above window. That's the one that shows the critical details that have to be correctly set in order to get a conditional value list to work.
But the highlighted value list is for Categories. Normally, this would NOT be a conditional value list, but the value list for the field that controls a conditional value list for Products in your database so this doesn't look like the correct value list to set up with the "include only related values" option.
Will post edit details later...when near my desktop.
I didn't intentionally mean to highlight that line. My version is a work in progress and could use some cleaning up as the last time I worked on it was over a month ago.
Yet I see an "include related values" option that may or may not be correct for that value list.
hello , sorry for late reply I'm on holiday , ive managed to sort something of sorts and it works please find enclosed.
I was having trouble with the sum field , as when i selected the category it selected a price automatically from categories . if i then selected a different product this price would remain the same.
The way i got round this was to have a price section. I also had the selection show product description and price but only show description when selected.
then when i select price a drop down of that categories prices shows and i just select the corresponding price. the subtotal etc will also change and shows this
